Larvol Group, dba Larvol, 548 Market St. Suite 44120, San Francisco, CA, 94104 (“company”, “we”, “us”, or “our”), the Larvol Web Application (Larvol Omni), the Oncology Biomarker Platform (Larvol Veri), the Oncology Clinical Trial Data Search Platform (Larvol CLIN), the Online Conference Platform (Larvol CONF), the Marketing Intelligence Database (Delta) and www.larvol.com (collectively referred as ‘’Services’’) , collect Personal Information from its customers, publicly available sources and website visitors (‘’Users’’).

When you use our Services, you trust us with your personal information. We take your privacy very seriously. In this privacy policy, we will clearly and transparently explain what information we collect, how we use it, and what rights you have in relation to it. 1. What information do we collect?

We collect personal information that you voluntarily provide to us when you visit our website, subscribe to receive newsletter or demo, login to your Omni, Veri, CLIN, CONF, or Delta account, or otherwise contact us. We also automatically collect information when you browse our websites through cookies, beacons and other tracking technologies. The personal information we collect can include the following:

Name and Contact Data

We collect your first and last name, email address, postal address, phone number, job title, state, and other similar contact data.

User generated data – Notes in Omni platform

Users are responsible for any third-party Personal Information obtained, published or shared through Larvol and confirm that they have the third party’s consent to provide the Data to Larvol.

Payment Data

We collect data required to process your payment if you decide to upgrade your free account, such as your credit card number and the security code associated with your payment instrument. Our payment processor stores all payment data, please review their privacy policy and contact the payment processor directly if you have any questions.

Automatically collected information

We automatically collect certain information when you visit, use or browse larvol.com, larvolomni.com, larvolveri.com, larvolclin.com, larvolconf.com, and delta.larvol.com.

This information does not reveal your identity (like your name or contact information) but may collect device and usage information (such as your IP address, device and browser characteristics, language preferences, operating system, device name, country, location, referring URLs, information about how and when you use our websites and other technical details).

This information is used primarily to manage the security and operation of our sites and for our internal analytics, marketing, and reporting purposes.

Additional types of data that may be collected include company name, browser/device metadata, identifiers such as device IDs, cookies, and usage data collected through analytics and tag management technologies.

All personal information that you provide to us must be true, complete and accurate, and you must notify us of any changes to such personal information.

Unless specified otherwise, all Data requested by Larvol is mandatory and failure to provide this Data may make it impossible for Larvol to provide its services.

2. How do we use your personal information and legal basis for processing

Larvol uses your personal information for the following purposes:

  • to facilitate a contract or steps prior to entering into the contract (Omni, Veri,CLIN, CONF, and Delta tools);
  • to enforce our Privacy Policy, KOL Privacy Notice, Cookie Policy and Terms of Service;
  • to send you periodic updates, marketing emails, administrative notices and invoices;
  • to defend our legal claims and to help others defend their legal claims;
  • if we are legally required to do so;
  • to personalize your website and website application experience;
  • to improve our websites and application (e.g. Google Tag management);
  • for operation and maintenance purposes, Larvol and any third-party services may collect files that record interaction with Larvol (System logs) use other personal Information (such as the IP Address) for this purpose;
  • to provide you with user support and to improve our customer service;
  • to facilitate prize draws, surveys, marketing campaigns or competitions;
  • to improve and enhance the functionality and security of larvol.com, delta.larvol.com, larvolomni.com, larvolveri.com,larvolclin.com, larvolconf.com;
  • to get insights into our business practices.

We may also process personal data for the purposes of analytics, spam protection, tag management, and contacting the user through marketing automation systems and communication platforms in compliance with applicable laws including the U.S. CAN-SPAM Act and EU ePrivacy Directive.

3. Will your information be shared with anyone?

Your personal information processed at Larvol’s operating offices and in any other places where the parties involved in the processing are located.

We will also share your information with our third-party service providers that help us run our business. Examples include CRM tools, chatbots, servers, third-party cookies, email clients, cloud storage providers. These third-party service providers have access to personal information needed to perform their services, but may not use your information for other purposes. Further, they must process that information in accordance with this Privacy Policy, signed Data Processing Agreement and as permitted by applicable data protection laws. As we continue to grow our business, we might sell or buy services or companies. In such events, personal information might become one of the transferred business assets but continues to be subjected to the commitments made in any pre-existing Privacy Policies (unless the individual consents otherwise).

Is your information transferred internationally?

Depending on your location, we might transfer information to a country other than your own.

If you are a resident in the European Economic Area, then these countries may not have data protection laws as comprehensive as those in your country.

Whenever we share personal information originating in the European Economic Area (''EEA'') or Switzerland, we use appropriate safeguards (Standard Contractual Clauses developed by the European Commission or EU-U.S. and Swiss-U.S. Privacy Shield Frameworks).

4. How do we keep your information safe?

We take appropriate security measures to prevent unauthorized access, disclosure, modification, or unauthorized destruction of your personal information.

The data processing is carried out using computers and/or IT enabled tools, following organizational procedures and modes strictly related to the purposes indicated. In addition to us, in some cases, the data may be accessible to persons in charge that are involved with the operation of Larvol (administration, sales, marketing, legal, system administration) or external parties (such as third-party technical service providers, mail carriers, hosting providers, IT companies, communications agencies) appointed, if necessary, as Data Processors by Larvol. Everyone who has access to your information has been trained in privacy and contractually obligated to keep your data safe and follow our privacy and security policies.

There is no bulletproof method for protecting your information. There is no guarantee that personal information may not be accessed, disclosed, modified, or destroyed by a data breach of any of our physical, technical, or administrative safeguards. The transmission of personal information to and from our is at your own risk. You should only access the services within a safe environment.

If we suffer a data breach that is likely to result in a high risk to your privacy, rights, and freedoms, we will inform you without undue delay and work with data protection authorities and privacy experts on the breach mitigation.

5. How long do we keep your information?

Personal Information shall be processed and stored for as long as required by the purpose they have been collected for or in accordance with our Information retention and deletion policy.

Personal Information collected for purposes related to the performance of a contract between Larvol and the User shall be retained until such contract has been fully performed.

Personal Information collected for the purposes of Larvol’s legitimate interests shall be retained as long as needed to fulfil such purposes. Users may find specific information regarding the legitimate interests pursued by Larvol within the relevant sections of this document or by contacting us.

We may retain certain personal information for a longer period if the User has given consent to such processing, as long as such consent is not withdrawn. Furthermore we may be obliged to retain personal information for a longer period whenever required to do so for the performance of a legal obligation or upon order of an authority.

Once the retention period expires, personal Information shall be deleted. Therefore, the right to access, the right to erasure, the right to rectification and the right to data portability cannot be enforced after expiration of the retention period.

6. Do we collect information from minors?

We do not knowingly process information from or advertise to children under 18 years of age.

By using our Services, you represent that you are at least 18 years of age.

If we learn that we are processing personal information from Users who are less than 18 years of age, we will deactivate the account and take reasonable steps to promptly delete such data from our records. 7. What are your privacy rights?

If you reside in the European Economic Area, you have guaranteed rights under applicable data protection laws.

These may include the right:

  • to access to the personal information that we process about you;
  • to rectification or erasure of your personal information;
  • to restriction of processing concerning your personal information;
  • to object to our information processing; as well as the
  • the right to information portability (limited to what is technically possible).

If you gave us consent, you can withdraw it at any time, but bear in mind that withdrawal will not affect the lawfulness of processing based on consent before its withdrawal.

You can unsubscribe from our marketing emails at any time by clicking on the unsubscribe link in our email footers or by contacting us using the contact information from this policy. Please bear in mind that we will still need to send you service-related and invoice emails that are necessary for the administration and use of your account.

Where Personal Information is processed for the purposes of the legitimate interests pursued by Larvol, Users may object to such processing by providing a ground related to their particular situation to justify the objection.

8. Deleting your Omni, Veri, CLIN, CONF account

If you would like to edit the information in your user profile or delete your user profile, you can send us a request at DPO@larvol.com.

Upon your request to delete your account, we will delete your account and remove your information from our systems. However, some information may be retained in our files to prevent fraud, assist with any investigations, troubleshoot problems, enforce our Terms of Service and/or comply with legal requirements.

10. How we handle “Do Not Track” requests

Larvol does not support “Do Not Track” requests.

11. Media, Trademark & Brand Reference Policy

LARVOL may reference or display the names, trademarks, service marks, logos, trade names, meeting titles, event branding, and other proprietary identifiers of third-party organizations including, by way of example, the European Society for Medical Oncology (ESMO), the American Society of Hematology (ASH), the American Society of Clinical Oncology (ASCO), and similar entities for descriptive, informational, analytical, comparative, editorial, or reporting purposes only.

Such references or displays may appear across LARVOL’s website, web-based platforms, mobile applications, downloadable tools, dashboards, reports, presentations, white papers, data visualizations, marketing materials, documentation, customer communications, and social media channels (including but not limited to X, LinkedIn, and other platforms).

Any use of third-party names, logos, or marks by LARVOL:

  • Does not imply affiliation, partnership, joint venture, sponsorship, certification, or endorsement by the respective trademark owner;
  • Does not indicate that any content, analysis, data, forecasts, commentary, or materials published by LARVOL have been reviewed, approved, or endorsed in whole or in part by such organizations;
  • Does not create any agency, sponsorship, or commercial relationship between LARVOL and the trademark holder.

All third-party trademarks, logos, brand names, event names, and related intellectual property remain the exclusive property of their respective owners. LARVOL’s use of such identifiers is solely to accurately identify and reference the relevant organization, event, study, publication, or subject matter in a factual and non-misleading manner.

Nothing in LARVOL’s materials should be construed as suggesting ownership of, rights in, or authorization to use any third-party intellectual property beyond such nominative and informational use.

12. Changes to this privacy policy

Larvol reserves the right to make changes to this privacy policy at any time by giving notice to its Users on this page and possibly within Larvol and/or – as far as technically and legally feasible – sending a notice to Users via any contact information available to Larvol. It is strongly recommended to check this page often, referring to the date of the last modification listed at the bottom.

Should the changes affect processing activities performed on the basis of the User’s consent, Larvol shall collect new consent from the User, where required.
